Coppice Tree & Garden Services Ltd. collects personal information for use only within the company. The data is stored in both in paper format and within a ‘cloud’ based online system. The information collected about an identifiable individual may include information such as the individual’s name, address, email address, telephone number. This information may be requested when you require a quotation to carry out work. You can choose not to provide your

personal information to Coppice Tree and Garden Services Ltd. but it may mean that we are unable to provide you with the services we offer.

 

In providing the personal information requested, Coppice Tree and Garden Services Ltd. may use the information we have collected from you for the following purposes:

 

• Arrange visits to site to inspect work required

• Prepare and send quotations, invoices and other associated paperwork via email, telephone/text message and post

• Communicate with you

 

Coppice Tree and Garden Services Ltd. will only use your personal information for the purposes described in this policy or with your express permission. By providing your personal information, you consent to Coppice Tree and Garden Services Ltd. storing your personal information. The storage of information will remain within the complete control of Coppice Tree & Garden Services Ltd. at all times. Any hosts of online storage used by Coppice Tree & Garden Services Ltd. will have satisfactory data protection controls to keep your data safe.

 

Coppice Tree and Garden Services Ltd. is committed to protecting the security of your personal information and we take all reasonable precautions to protect it from unauthorised access, modification or disclosure. However, the internet is not in itself a secure environment and we cannot give an absolute assurance that your information will be secure at all times. Transmission of personal information over the internet is at your own risk and you should only

Coppice Tree and Garden Services Ltd. will not otherwise disclose your personal information to a third party unless you have provided your express consent. However, you should be aware that Coppice Tree and Garden Services Ltd. may be required to disclose your personal information without your consent in order to comply with any court orders, or other legal process or investigation including by tax authorities if such disclosure is required by law. The third parties who store our online data do not control and are not permitted to access or use your personal information except for the limited purpose of storing the information. 

If you choose to pay for services by credit/debit card, your credit /debit card details are stored by Coppice Tree and Garden Services Ltd. as paper card machine receipts. This information is stored in a secure location away from the trading address of the business. It is your responsibility to ensure that the personal information you provide to us is accurate, complete and up-to-date. You may request access to the information we hold about you, or request that we update or correct any personal information we hold about you, by setting out your request in writing and sending it to us at info@coppicetree.co.uk Coppice Tree and Garden Services Ltd. will process your request as soon as reasonably practicable, provided we are not otherwise prevented from doing so on legal grounds. If we are unable to meet your request, we will let you know why. For example, it may be necessary for us to deny your request if it would have an unreasonable impact on the privacy or affairs of other individuals, or if it is not reasonable and practicable for us to process your request in the manner you have requested.

 

We’ll only keep your personal information for as long as we require it for the purposes of providing you with the quotation/service. However, we may also be required to keep some of your personal information for specified periods of time, for example, laws required by financial reporting legislation.

 

You can choose to have your personal details removed from our systems at any time by writing to info@coppicetree.co.uk. We will respond informing you of what information we have on record and how we have actioned your request.

Our Privacy Officer will endeavour to provide an initial response to your query or complaint within 10 business days and investigate and attempt to resolve your query or complaint within 30 business days or such longer period as is necessary and notified to you by our Privacy Officer.
